Compass Partnership: Services
This document more fully defines the services that Gateway will perform on behalf of our partners as part of the Compass Program. Provided are descriptions of our standard/required Compass Partnership services as well as additional and common Exhibit Management & Administration Services along with rates and schedules for the latter.
STANDARD/REQUIRED COMPASS SERVICES DESCRIPTIONS
Gateway Exhibit Services will store, manage and maintain all client assets covered under this or any amended agreement. Storage rates will be determined at the beginning of an agreement year based on currently stored assets, and will be adjusted annually as needed. All client assets will be incorporated into and managed through Gateway’s digital, cloud-based inventory management systems. All inventory & storage related updates, counts and adjustments will be billed at the “General Services Labor” rate as described below.
PRE-STAGING AND RETURN INSPECTION
Pre-Staging and Return Inspection will be performed on all requested client exhibiting assets prior to the assets leaving our facility or being integrated back into inventory respectively. Pre-Staging and Return Inspection fees will be based upon the requested configuration as described and referenced in this or any amended agreement.* Orders or requests that comprise only promotional items or other accessories, and not exhibiting assets, will be billed according to the “General Services Labor” rate as described below.
All needed cases & crates will be pulled from storage and all assets will be inspected and fully assembled according to client approved specifications. All graphics and A/V will be tested for suitability and functionality. A client preview may be arranged and scheduled at no additional cost provided the requested scheduling does not require altering the project timeline. Detailed pictures of the staging can also be provided for partner approval. After approval of the staging all assets will be disassembled and the configuration prepared for shipment with a detailed load and crate listing.
Upon return receipt of exhibiting assets, all crates and cases will be inspected. All exhibiting assets will be unpacked from their shipping containers, thoroughly inventoried and inspected for any damage or defacement. Small repairs and cleaning will be performed during the Return Inspection according to the “Pre-Approved Wear & Tear” agreement below. Any larger repairs or cleaning required will be quoted separately and approved by partner prior to being performed. After inspection and inventory, all assets will be returned to storage.

INSTALLATION AND DISMANTLE
Gateway Exhibit Services provides Installation & Dismantle (I&D) services at convention centers and venues globally. Quotes for I&D Services will be provided on a per-event basis and pricing is dependent upon days/dates, location/city, and configuration. This Compass Partnership signals agreement on behalf of our Partners to utilize Gateway Exhibit Services’ I&D capabilities for any and all structural exhibits stored with or rented from Gateway. Some show or event locations’ labor regulations require that Gateway Exhibit Services employ union workers under supervision. In limited situations, Gateway’s trusted 3rd party labor providers may be utilized in lieu of Gateway staff.
FREIGHT LOGISTICS AND SHIPPING COORDINATION
Gateway Exhibit Services has extensive in-house logistics capabilities as well as a trusted network of providers capable of fulfilling all of our partners’ freight and shipping needs. Quotes for Freight and Shipping Services will be provided on a per-event or per-shipment basis and pricing is dependent upon shipment size, dates/timeline and destination and departure locations. This Compass Partnership signals agreement on behalf of our Partners to utilize Gateway Exhibit Services’ freight & shipping capabilities for all shipments of exhibiting assets departing from or arriving to our facilities or any other service location.
PRE-APPROVED WEAR AND TEAR REPAIR
Client assets exhibiting normal wear and tear discovered during Return Inspection or any other inventory handling will be repaired by Gateway Exhibit Services when discovered. Gateway is authorized by our Partners to perform repairs up to a limit of $100 per month in time and material costs. Such repairs are considered pre-approved and will be invoiced at the time of repair.
Partners agree to procure, maintain and furnish a Property Insurance policy sufficient to reimburse the Partner for the full replacement value of all assets stored with or under the control of Gateway. If a Partner does not provide proof of sufficient insurance to secure reimbursement, Gateway is authorized to procure and obtain Insurance to cover the replacement value of all client assets stored with or controlled by Gateway and invoice for said coverage. | General Services Labor|
All labor and services requested or required for event planning and coordination, inventory updates or management, promotional material counts and shipments, and general repair & refurbishment services. All time spent fulfilling additional client requests not covered under an approved proposal or quotation will be billed at the General Services Labor rate.
| Custom Fabrication Services Labor|
The Custom Fabrication Services labor rate will apply for all requested custom exhibit component builds and developments. All wood- and metal-working, crate repair and build, custom lighting and A/V implementations and other fabrication services will be billed at the Custom Fabrication rate.
| Exhibit Reconfiguration and Structural|
the creation of new technical drawings, or the significant alteration of existing drawings, will be billed hourly at the Exhibit Reconfiguration
rate for the time required to produce new or
fully updated CAD files for submission to
show management and to aid in I&D.
| Showbook and Show Forms Coordination|
Gateway Exhibit Services’ Project Management staff will complete all needed show forms and orders and submit them to the event’s general services contractor to ensure fulfillment. We request 4-6 weeks advance notice if we will be coordinating your show orders to allow for obtaining any advance pricing discounts. If sufficient advance notice is not provided, pricing discounts cannot be guaranteed. For all payments in conjunction with Showbook and Show Form Coordination, our client’s Credit Card information will be requested to secure services. If a client Credit Card is not provided, or if the client prefers, all charges and payments will be made by Gateway Exhibit Services and subject to a 10% handling fee applied at invoicing.
| Exhibit Component & Accessory Rental Services|
Gateway Exhibit Services maintains a multi-million dollar inventory of rental components available to
our partners and clients. All quotes for flooring,
A/V, furniture, accessory or exhibit component will be priced below published show rates for
comparable offerings. In the absence of published show rates, Gateway’s standard pricing will be provided and subject to revision and rebate upon
the publishing of show rates.
